Just received your new enterprise printer? Here's how to get it unpacked, connected, and ready for your team in the shortest time possible.
Getting Started With Your New Equipment
Congratulations on your new commercial printer! Whether it's a LaserJet Enterprise, a Color LaserJet MFP, or any other heavy-duty machine, the setup process follows a similar pattern. Here's a straightforward walkthrough to get you up and running.
Step 1: Unpack and Inspect
Enterprise printers are heavy — many weigh 50 to 100+ pounds. You'll likely need two people to lift it out of the box. Before powering it on:
- Remove all packing tape, foam inserts, and shipping locks (check inside every tray and the scanner lid)
- Look for any visible shipping damage and photograph it immediately if found
- Find the "Getting Started" quick setup guide — it shows exactly where the shipping locks and packing materials are hidden
Step 2: Install Toner and Paper
Your printer comes with starter toner cartridges (usually lower yield than standard replacements). Install them following the guide — most enterprise printers use a simple slide-and-click mechanism. Then load paper into the main tray, adjusting the paper guides to match your paper size (usually Letter or A4).
Step 3: Connect to Your Network
For the most reliable connection in a business environment, use an Ethernet cable. Plug it into your office network switch or router. The printer will automatically get an IP address via DHCP. You can also connect via Wi-Fi through the printer's touchscreen setup wizard, but wired connections are more stable for heavy use.
Step 4: Connect Your Computers
Most modern enterprise printers are plug-and-play on Windows and Mac — your computer will detect the printer on the network automatically. For full functionality (scanning to email, advanced print settings), visit the manufacturer's support page for your specific model to complete the setup.
Step 5: Configure Basic Settings
Through the printer's touchscreen control panel or its web interface (type the printer's IP address into a web browser), set up:
- Default paper size and type
- Default to duplex (two-sided) printing to save paper
- Default to black and white to save toner costs
- Sleep/energy settings appropriate for your office hours
- Scan-to-email settings (requires your email server information)
Step 6: Print a Test Page
Run the built-in test page from the printer's control panel to verify everything is working. Then send a test print from your computer to confirm the network connection is working properly. You're ready to go!
